Industry best practice for data backups is the 3-2-1 rule. Three copies of your data, stored in two different formats, with at least one copy stored online.
Between 2% and 3% of hard drives experience a failure each year during the first 3 years of use. Laptops have a malfunction rate of 16% to 26% over three years. Desktops have a failure rate of 5% in year one. The desktop failure rate increases to 12% in year 4. Computers that are not protected by surge protectors (or where the neutral connection is not grounded) are more likely to experience a failure.

Backing up to and recovering data from a local USB drive is fast. You can purchase a 1TB USB hard drive for under $60 in the United States.
If your office is in an region prone to natural disasters; such as hurricanes, floods or forest fires, we recommend the IoSafe fireproof and waterproof external hard drive.
A drive with data mirroring (RAID 1) will copy your files to two drives. If one drive fails the hardware will automatically allow you to access the data from the other drive. Recommended DAS (Direct Access Storage) devices that support data mirroring include:
To automate your local backups you can use the backup software that comes with the drive or a 3rd party solution. We recommend the following backup software applications;
Each of these software solutions can backup your royalty software data files to a local drive and/or the cloud.
Genie Timeline is an easy to use solution that provides easy access to prior versions of a file. Acronis True Image is a more powerful solution that offers versioning. disk imaging, disk cloning and host of other tools. Both solutions offer an optional online backup service to backup your data to a 2nd offsite location.
An overlooked aspect of data protection strategy is an action plan that validates your ability to restore a file from your backup location. We recommend that clients document the file restoration process and test this process quarterly. A quarterly test will confirm that your backup systems are working and maintain the employee’s skill in restoring the royalty software data file.
At Kensai International we require that desktops and laptops be protected by Tripp Lite surge protectors rated for 2,000 or more joules. This hardware provides protection against power surges, power spikes and line noise. We like Tripp Lite surge protectors because they cut off power to outlets when they can no longer provide protection. Many other products rely on a led to tell the user that the surge protector is no longer functioning.
We protect our personal computers against internet threats (hackers and malware) with software solutions from Symantec (Norton Internet Security) and Malwarebytes.
Norton Internet Security defends against ransomware, viruses, spyware, malware and other online threats
Malwarebytes for Windows employs four independent technology modules—anti-malware, anti-ransomware, anti-exploit, and malicious website protection—to block and remove both known and unknown threats.
